As South African businesses head into the busiest stretch of the year, Johannesburg software house Egis Software is pointing to three capabilities within PaperTrail, its electronic content management platform, that carry the most weight once volumes climb. Those capabilities are shared email processing, electronic forms and rule-driven document routing, all part of its Document Management Software. JOHANNESBURG, October 2026. The fourth quarter brings year-end closes, festive season shutdowns and, soon after, the new-year audit cycle. Few periods test how requests, invoices and approvals travel through an organisation quite like this one.
Searching for one hard-to-find file is seldom where the real hours go. Time slips away in the handovers between colleagues. A client message lingers in a shared mailbox with no clear owner. A paper form waits on a signature from a manager who is away. Someone has to pick up the phone to chase an approval. PaperTrail aims to remove those delays by placing correspondence, data capture and workflow inside the same secure repository that already holds an organisation’s documents.
Team email with clear ownership
PaperTrail’s Group Email feature serves teams that work through high volumes of customer email together. Messages are pulled in automatically from POP and IMAP compliant mail servers, Microsoft Exchange and Lotus among them, and then handed out to team members to process. The usual confusion of group mailboxes, where several people open one message and no one knows whether it has been answered, falls away.
Because replies go out from inside PaperTrail, every piece of correspondence on a matter is recorded together and threaded automatically under one item. Email aliases can serve as the trigger for a workflow, so a message landing at a specific address sets a defined process in motion instead of waiting to be spotted. With a Microsoft add-in, individual users can push emails from Outlook straight into PaperTrail, add metadata and assign them to particular users or groups. They decide whether the full email goes across or just the attachments.
Whether it is a finance department receiving supplier statements, a property team fielding tenant queries or a service desk responding to clients, every message gains an owner, a history and a home in the record.
Digital forms for data and sign-off
Next to email, PaperTrail provides electronic forms that capture data and secure approvals with no paper involved. The eForms capability is built to shorten processing times, accelerate approval cycles and cut down on paperwork. Calculations and validations can run automatically, which supports work like claims processing and leaves staff free for tasks that call for human judgement.
Compared with paper filing, which can easily go missing, electronic forms can also be the more secure route. PaperTrail handles electronic and biometric signatures, automated look-ups, custom form design and PDF output for printing or routing by email. Its eSignature module has been extended to cover basic ad-hoc and form template building as well, complete with database look-ups and a broad set of form field options.
Getting each item to the right desk
A document or form inside the system still has to find its way to the correct person. Authorised PaperTrail users can forward or route documents to individuals or groups, while administrators can define sequential routes or rule-based workflows that manage escalation and direct each item to the right user for processing. Data can be exported to external systems too. Rules and workflows are set up in a straightforward administration console or a graphical workflow designer, which means processes can shift as the business evolves.
Combined, these features take a document management system beyond storage and closer to an operating layer for paperwork. One email can arrive, launch a workflow, gather a form, move through approval, collect a signature and settle in the repository with its complete history intact.
The foundation: capture, storage and search
Beneath the workflow tools lies the heart of PaperTrail Document Management: a secure electronic repository for electronic and scanned documents that can be reached from anywhere, at any time. A flexible folder taxonomy keeps documents organised, collaboration features let employees and clients share them, and searching and reporting on specific documents come built in.
On the capture side, PaperTrail automates bulk and online capture, image enhancement and full-page or zonal optical character recognition. Form and barcode recognition, with automated or manual page separation, is included as well, so paper still arriving at reception can enter the same digital process as everything else.
Organisations using PaperTrail
PaperTrail serves a broad spread of industries. Feedback published on the PaperTrail website comes from organisations such as IHS Property Management, Triton Fleet, CBI-Electric, iStore, TWF, Old Mutual, Fair Cape Dairies and the South African Reserve Bank. Their remarks touch on remote work on electronic application and lease systems, simpler responses to auditors, procurement and creditors processes, and weekend support while systems were being changed.
These same components underpin a family of targeted solutions. CreditorsHub automates accounts payable, covering supplier invoice processing through to remittance and reconciliation. PeopleHub handles the employee lifecycle from recruitment to onboarding while satisfying regulatory requirements. LeaseHub collects documents, runs credit checks and simplifies lease signing for tenants and agents, and TravelHub automates supplier invoice collection for the travel industry. All of them depend on the group email, eForm and workflow capabilities outlined above.
Deployment choice and ongoing support
Clients can run PaperTrail on premise or have it hosted in the cloud. The hosted route lowers IT investment and shifts spending from capital expenditure to operating expenditure. Instead of rigid, shrink-wrapped products that make a business change the way it operates, Egis Software configures PaperTrail around each client.
The service offering spans business process re-engineering, business analysis and specification, solution implementation and development, user and administrator training, fully managed cloud and on-premise servers, outsourced scanning and indexing, and first, second and third level support under service level agreements. Critical systems are backed by a 24/7 help desk, with flexible options tailored to each client. Egis Software has been developing and supporting the platform since 1998, bringing more than two decades of experience with South African document processes.
The case for acting before December
Unanswered emails, unsigned forms and stalled approvals cause the most harm in the run-up to December, since they spill into January as a backlog at the very moment auditors and fresh budgets arrive. Organisations weighing up how to manage that load can book a demonstration with the PaperTrail team to see group email, eForms and workflow working together.
